Host Your Event at Twin Ponds Lodge

Looking for the perfect venue to host your next event? Twin Ponds Lodge offers a unique opportunity for organizers to create unforgettable experiences in our one-of-a-kind, clothing-optional lodge and campground. Whether you're planning a retreat, a social gathering, or a themed weekend, we’re here to help make it happen!

How It Works

  • Reserve a Block of Lodging: Organizers can reserve between 15 and 70 lodging units, including:

    • 7 cabins

    • 8 FEMA trailers

    • 5 never tents

    • 20 electric tent sites

    • 30 basic tent sites

  • Free Lodging for Organizers: Sell at least 15 units, and your lodging is on us!

    • If fewer than 15 units are sold (including last-minute cancellations), the free lodging offer will not apply.

Do you manage a group or organization?  You can earn money hosting an event.

  • Sell Reservations:  You’ll create a unique access code that allows your attendees to book their lodging directly through our reservation system.  In order to successfully sell access to your reservations, event organizers should plan to book all lodging in its entirety.  (Otherwise, guests can bypass the organizer and book directly.)  If you have a large group or list to promote to, you have a good idea for a theme, and you promote it well, you can have a successful event and make some money along the way.

Key Details

​

  • No Deposit Required: There’s no upfront cost to block lodging for your event.

  • Reservation Milestone: 25% of the blocked units must have confirmed reservations and deposits at least 60 days before the event.

  • Alternatively, the organizer can make a 25% non-refundable deposit themselves, which will be credited back as reservations are filled.

  • Block Release Policy: Any unsold lodging will be released back into our general reservation system 30 days before your event.

  • Shared Space: While your event will have exclusive access to the reserved lodging, Twin Ponds Lodge remains open to:

  • TPL Social Club members

  • Seasonal members with private campers

  • Day-pass guests

  • Lodging not reserved for the event

  • This ensures a lively, welcoming environment for everyone.

Event Planning Guidelines & Best Practices

To ensure a smooth and enjoyable experience for all guests, we’ve outlined a few reminders and best practices for planning your event at Twin Ponds Lodge:

  1. Plan Ahead:

    • Events must be planned well in advance, preferably before the season’s schedule of events has been finalized. This allows us to coordinate your event seamlessly with our existing programming.

  2. Room Block Restrictions:

    • We do not block off groups of rooms on summer holiday weekends or during Bears Weekends. Please choose your dates accordingly.

  3. Free Lodging for Organizers:

    • The complimentary lodging for the event organizer will be based on the average reservation value of the group. For example, if most reservations are basic tent sites, the complimentary lodging will reflect that value. Organizers cannot book primarily tent sites and then claim a free cabin.

  4. Activity Schedule:

    • If your group occupies the majority of the campground, we’ll work with you to tailor the activity schedule to your group’s preferences.

    • For smaller groups, the weekend’s events will follow the lodge’s existing programming.

  5. Pre-Scheduled Themes:

    • If the weekend already has a pre-scheduled theme (e.g., Frat Friday, Basecamp, or other themed weekends), we will not change it unless your group takes up the majority of the campground.

  6. Small Groups:​​

    • If you are planning a gathering, but do not expect that your group will be filling the entire campground, we can promote your event, ensuring that the campground will have other guest for your attendees to interact with.  ​ 

  7. Large Groups:

    • If you expect to fill the park and want a more exclusive gathering, we will not promote the event and keep it off the website, therefore lowering demand for that weekend and your group will pretty much have the campground to yourselves.  Please note, we can not offer 100% exclusive use of the campground as we do have a contract with all the members of TPL Social Club and they are guaranteed access March through December.​ We can only offer this more exclusive type event if you book and fill most/all the lodging and tent sites.  

  8. Promotional Materials:

    • Twin Ponds Lodge can help create promotional graphics for you event, whether we promote your event to our members, or you want promotional graphics that are for your exclusive use to promote through your own channels and social media accounts.  ​

  9. Shoulder-season & weekday bookings:  Memorial Day through Columbus Day  considered our peak season.  If you are looking to book an event on the "shoulders" March, April, Early May or Mid October through December we can have a conversation about discounts for your group.  Discounts are also available for stays encompassing weekdays.

  10. Every event is different, each groups will have different needs and expectations.  We can definitely set up a time (or several times) to go over the details of what your event would look like here at Twin Ponds Lodge and come up with a custom plan.
